Administrative Assistant 2:

This position reports into the California Region CFO and will have full responsibility of managing reception area for Regional office. Responsible for ensuring incoming calls are routed to appropriate parties and providing administrative support to administrative team. Coordinates meetings, researches agenda items, analyzes data and compiles reports. Maintains necessary office supplies and ensures various equipment is properly configured, installed and maintained. Works with moderate supervision/guidance; is accountable for individual results and impact on team.

Core Responsibilities:

-Assist in scheduling conference rooms

-Assist with planning of regional projects/events

-Participate as a safety warden for the regional office

-Provide back up support to other Administrative Assistance in Regional Office



Tasks:

- Provides administrative and clerical support including correspondence, typing, filing, research, and various projects.

- Practices good judgment, discretion, and confidentiality of sensitive information regarding department activities.



- Update inventory spreadsheets through Excel and Word documents



- Create monthly PowerPoint presentation



- Screens and directs incoming phone calls.



- Handles maintenance of all office equipment.



- Regular, consistent and punctual attendance. Must be able to work variable schedule(s) and overtime as necessary.



- Other duties and responsibilities as assigned by the Lead Administration Assistant.



Requirements:



- High School or Equivalent

- Generally requires 2-5 years related experience



Additional Requirements:

- Must be customer service oriented

- Strong verbal and written communication skills are a must.



Physical requirements

- Must be able to lift up to 30 lbs
